Sekai On has created this privacy statement to demonstrate our commitment to privacy for our clients and users of our consulting services, online services, websites, and web services. This privacy policy governs the way Sekai On uses information collected from its clients and users of our Services.

1. Privacy

Sekai On is committed to developing long-lasting relationships based on trust. As such, Sekai On will do everything in its power to ensure that your right to privacy is maintained and protected. Our Services are not directed at children under 13 years of age.

2. Information We Collect

Sekai On cares about your privacy. For this reason, we collect and use personal data only when necessary to deliver our products and services to you. Your personal data includes information such as:

  • Name
  • Address
  • Phone number
  • Email address
  • Other collected data that may identify you directly or indirectly.

 

Our Privacy Policy is intended to describe to you how and what data we collect and how and why we use your personal data. It also describes the options we provide for you to access, update, or take control of your personal data that we process.

We collect information so that we can provide the best possible experience when you use our Services. Much of what you probably consider personal data is collected directly from you when you:

Create an account or purchase any of our Services (e.g., billing information, including name, address, payment details);
request assistance from our customer support team (e.g., phone number, case notes);
fill out contact forms or request newsletters or other information from us (e.g., email); or
participate in contests and surveys, apply for a job, or engage in other activities that we promote that may require information about you.

However, we also collect additional information when providing our Services to you to ensure the necessary and optimal performance. These collection methods may not be as obvious to you, so we want to highlight and explain below a little more about what they may be (as they vary from time to time) and how they work:

Account-related information is collected in association with the use of our Services, such as account number, purchases, when products are renewed or expire, information requests, support requests, and notes or details explaining what you requested and how we responded.

Cookies and similar technologies on our websites allow us to track your browsing behavior, clicked links, items purchased, device type, and collect various data, including analytics, about how you use and interact with our Services. We firmly believe in minimizing the data we collect and limiting its use and purpose only to those (1) for which we receive permission, (2) as necessary to provide the Services you purchase or interact with, or (3) as we may be required or allowed for legal compliance or other legal purposes. These uses include: Providing, improving, updating, and enhancing the Services we provide to you. We collect various information related to your purchase, use, and/or interactions with our Services. If we collect information from you in connection with a joint brand offer, it will be clear at the time of collection who is collecting the information and which privacy policy applies. If you make use of a service that allows you to import contacts (e.g., using email marketing services to send emails on your behalf), we will only use the contacts and any other personal information for the requested service. Transfer of personal data abroad. If you use our Services from a country other than the country where our servers are located, your communications with us may result in the transfer of your personal data across international borders. Additionally, when you call us or initiate a chat, we may provide support from one of our global locations outside your country of origin. Your personal data will be transferred and processed outside the EEA. In these cases, your personal data is treated in accordance with this Privacy Policy.

Compliance with legal, regulatory, and law enforcement requests. We cooperate with government and law enforcement officials and private parties to enforce the law. We will disclose any information about you to government or law enforcement officials or private parties as we, in our sole discretion, believe necessary or appropriate to respond to claims and legal process (such as subpoenas), to protect our property and rights or the property and rights of a third party, to protect the safety of the public or any person, or to prevent or stop activity we consider illegal or unethical.

To the extent we are legally permitted to do so, we will take reasonable steps to notify you in the event we are required to provide your personal information to third parties as part of a legal process.

Website Analysis. We use various web analytics tools provided by service partners, such as Google Analytics, Facebook pixel, Twitter pixel, to collect information about how you interact with our website or mobile applications, including which pages you visit, what website you visited before visiting our site, how long you spend on each page, what operating system and web browser you use, and network and IP information. We use the information provided by these tools to improve our Services. These tools place persistent cookies in your browser to identify you as a unique user the next time you visit our site. Each cookie cannot be used by anyone other than the service provider (e.g., Google for Google Analytics and Facebook). The information collected from the cookie may be transmitted and stored by these service partners on servers in a country different from the country where you reside. While the collected information does not include personal data such as name, address, billing information, etc., the information collected is used and shared by these service providers in accordance with their individual privacy policies. You can control the technologies we use by managing your settings through our Cookie Policy, which may be presented (depending on the website URL visited) when you visit our web pages for the first time, or by using settings in your browser or third-party tools such as Disconnect, Ghostery, and others.

Targeted Advertising. Targeted ads or interest-based offers may be presented to you based on your activities on our web pages and on other websites and based on the products you currently own. These offers will be displayed as banners for various products presented to you while browsing. We also partner with third parties to manage our advertising on our web pages and other sites, such as Facebook, Twitter, Google, and Microsoft. Our third-party partners may use technologies like cookies to collect information about such activities to provide advertising based on your browsing activities and interests and to measure the effectiveness of advertising. If you wish to disable interest-based advertising in the European Union, please let us know at contact@sekaion.jp. Please note that you will still receive generic ads.

Third-Party Websites. Our website and mobile applications contain links to third-party websites. We are not responsible for the privacy practices or the content of third-party websites. Please read the privacy policy of any website you visit.

4. Disclosure of Information

Sekai On may also disclose aggregated and anonymous data based on information collected from Users to investors and potential partners. In these cases, only statistical information will be disclosed, and personally identifiable data will be kept strictly confidential. If Sekai On is sold, user-collected information may be transferred to the new owners.

Sekai On may, from time to time, engage third parties, including its own subsidiaries and affiliated companies, to preserve, analyze, store, or manipulate data received by Sekai On from its customers. In all such cases, these third-party service providers will be required to treat all such data with the same degree of care as Sekai On, and will be prohibited from disclosing such data to any other person or party, except as otherwise provided in this Privacy Policy.

5. Special Offers and Updates

Our customers and users will occasionally receive information about products, services, special offers, and possibly a newsletter. Out of respect for the privacy of our users, we present the option not to receive such communications.

6. Service Announcements

On rare occasions, it is necessary to send a service-related announcement, such as if our service is temporarily suspended for maintenance. Generally, users cannot opt out of these communications, although they can deactivate their account. However, these communications are not promotional in nature.

7. Legal Disclaimer

While we make every effort to preserve your privacy, we may need to disclose personal information when required by law if we believe in good faith that such action is necessary and required to comply with a current judicial process, a court order, or a process served on Sekai On. Sekai On’s websites contain links to other sites. Please be aware that Sekai On is not responsible for the privacy practices of these other sites. We encourage you to read the privacy statements of any and all websites that collect personally identifiable information. The Sekai On Privacy Policy described here applies exclusively to information collected by Sekai On.

8. Maintenance of Information

The information provided to Sekai On is saved indefinitely and may be stored in one or more databases maintained directly or indirectly by Sekai On. Sekai On employs industry-standard security measures to protect the confidentiality of the information.

While we cannot guarantee that loss, misuse, or alteration of data will not occur, we make every effort to prevent such occurrences. Any other particularly confidential information, such as credit card numbers collected for commercial transactions, is encrypted before transmission by you to Sekai On.

Additionally, you can access, edit, and update your personal data in your dashboard at any time; however, if you encounter any issues doing so, please send us a quick message at contact@sekaion.jp, and we will be happy to assist you as soon as possible.

9. How We Protect, Store, and Retain Your Data

We follow generally accepted standards to store and protect the personal data we collect, both during transmission and once we receive and store it, including the use of encryption where appropriate.

We retain personal data only for as long as necessary to provide the Services you have requested, and thereafter for a variety of legitimate legal or business purposes. These might include retention periods:

  • required by law, contract, or similar obligations applicable to our business operations;
  • to preserve, resolve, defend, or enforce our legal/contractual rights; or
  • necessary to maintain adequate and accurate business and financial records.

10. Your Responsibility

You are responsible for the security of your login information, such as usernames and passwords, that give you access to your private information held by Sekai On. Ensure that you keep your login information in a secure location and do not share it with others.

Be aware that keyloggers, viruses, or other surveillance devices can intercept login information on the computers from which you access our Services, so you should take precautions against these devices, especially on public computers. Additionally, you should always log out of any relevant Services when you are not actively using them.

11. Changes to Our Privacy Policy

We reserve the right to modify this Privacy Policy at any time. If we decide to change our Privacy Policy, we will post those changes in this Privacy Policy and in any other places we deem appropriate, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If we make material changes to this Privacy Policy, we will notify you by email or by a notice on our homepage at least thirty (30) days before the changes are implemented.

12. Access and Management of Infrastructure and Data Security

Under the GDPR, both the controller and the processor are required to implement appropriate technical and organizational measures to ensure a level of security appropriate to the risk.

Sekai On operates a global infrastructure designed to provide state-of-the-art security throughout the information processing lifecycle. This infrastructure is built to provide secure deployment of services, secure data storage with end-user privacy safeguards, secure communications between services, secure and private communication with customers over the Internet, and secure operation by administrators.

We design the security of our infrastructure in complementary layers, from the physical security of our upstream providers (such as Amazon, DigitalOcean, IBM, etc.), to the security protections of our hardware and software, to the processes we use to support operational security. This layered protection creates a solid security foundation for everything we do.

Sekai On uses encryption to protect data both in transit and at rest. Data in transit is protected by HTTPS, which is enabled by default for all users, and any other type of data is stored on machines that have at least three layers of security with limited access for anyone in the company.

For Sekai On employees, rights and access levels are based on role and job function, using the concepts of least privilege and need-to-know to match access privileges with defined responsibilities. Requests for additional access follow a formal process involving a request and approval from a data or system owner, manager, or other executives, as dictated by Sekai On’s security policies.

We verify vulnerabilities using a combination of commercially available and custom-built internal tools, intensive automated and manual penetration testing, quality assurance processes, software security reviews, and external audits. We also rely on the broader security research community and highly value their help in identifying vulnerabilities in all our products. Our policy encourages researchers to report design and implementation issues that could put customer data at risk, and we often reward them with credit and free services from Sekai On.
